Workplace Technology Strategy

Meeting rooms, collaboration spaces and the everyday technology people touch, planned around how the organisation actually works.

The challenge

Rooms get built before anyone agrees what happens in them.

Workplace technology is usually described by equipment rather than by use. A schedule says eight meeting rooms; it does not say which are for internal stand-ups, which will host clients, and which need to run a hybrid call where the remote participants can hear everyone in the room. Those are different rooms, with different power, acoustics, sightlines and ceiling coordination.

Without that detail the standard arrives late, each room gets specified in isolation, and staff learn a different control layout in every space. Agreeing the room types and what each must achieve, before the layouts are fixed, gives the project one specification to build and the occupier one experience to support.

What Sysflex does

Space types first, equipment second.

Define

Agree the room types, the user journeys and the standard each space has to meet, including accessibility and hybrid working.

Coordinate

Coordinate displays, audio, power, containment and acoustics with the architect, M&E team and furniture layouts.

Assure

Test the rooms against the agreed standard at commissioning, and set out how staff are supported after handover.

Outcomes

What the client gains

✓ One room standard applied consistently, so staff can walk into any space and use it without training.

✓ Coordination settled early, avoiding the late ceiling, power and acoustic changes that workplace technology usually triggers.

✓ A clear support position and lifecycle plan for the technology people rely on daily.

Across the project

Where this fits in RIBA Stages 0–7

Best engaged at Stages 2 to 3, while room layouts, ceilings and services are still being coordinated.

Define

Establish how the organisation works, what hybrid means in practice and which space types the building needs.

02

RIBA 2 – 4

Design

Define the room standard by space type and coordinate it with layouts, services, acoustics and furniture.

03

RIBA 5

Deliver

Oversee installation and commissioning, and confirm each room performs as the standard requires.

04

RIBA 6 – 7
